Credit Card on File Policy

Effective January 1, 2025

At Total Recovery Massage Therapy & Wellness, a valid credit card or Visa Debit card is required to book and hold an appointment.

This policy helps us maintain appointment availability, reduce administrative delays, and support the efficient operation of the clinic while ensuring fair compensation for our healthcare providers when appointments are missed.

Why We Require a Card on File

Reservation Assurance

Your card on file secures your appointment time and allows us to reserve dedicated treatment time for you.

Convenience

A card on file allows for efficient payment processing and reduces administrative delays at check-out.

Policy Enforcement

A valid card on file allows the clinic to process applicable Late Cancellation Fees and Missed Appointment Fees in accordance with our Cancellation & Missed Appointment Policy.

Security

All payment information is stored securely through our clinic management and payment processing systems. Total Recovery staff do not have access to your complete credit card information.

How It Works

A valid credit card or Visa Debit card will be securely stored on your patient profile when booking an appointment.

Having a card on file does not mean your card will automatically be charged for treatment services.

Patients are welcome to pay for their appointments using any accepted payment method at the time of service, including debit, credit card, gift card, or cash where applicable.

However, by maintaining a card on file, patients authorize the clinic to charge outstanding balances, Late Cancellation Fees, Missed Appointment Fees, administrative fees, or other charges authorized by clinic policy when payment has not otherwise been received.

Where possible, the clinic will communicate outstanding charges before processing payment; however, the clinic reserves the right to process charges in accordance with its published policies without additional notice.

Privacy & Security

Total Recovery Massage Therapy & Wellness is committed to protecting your privacy and safeguarding your personal information.

Patient information is collected, used, stored, and protected in accordance with applicable privacy legislation, including Ontario's Personal Health Information Protection Act (PHIPA). Personal information is only collected and used for purposes related to providing care, administering clinic services, and processing authorized payments.

Credit card information is stored using secure, encrypted, PCI-compliant payment processing systems and is not shared or used for any purpose unrelated to authorized payment processing.

Patient Responsibilities

Patients are responsible for:

Maintaining a valid credit card or Visa Debit card on file.
Keeping payment information current.
Reviewing and understanding the clinic's Cancellation, Missed Appointment, Illness, and Gift Card Policies.
Ensuring payment is available for any fees incurred under clinic policies.

Failure to maintain valid payment information may result in restrictions on booking privileges or dismissal from the clinic.
